PrismERP’s Training & Specialization module offers an integrated approach to managing employee development, training programs, and specialized roles within an organization. This comprehensive system empowers HR and Learning & Development teams to efficiently schedule training, manage participants and trainers, track expenses, organize training activities, and assign specialized skills or responsibilities to employees.

The foundation of this module is the Training Schedule Management feature, which allows users to plan, organize, and oversee training sessions. Each session includes key details such as the title, date, duration, trainer, venue, and topic. Employees can be assigned as participants, and trainers are linked based on their expertise. The system tracks the status of each training—from planned to ongoing to completed—enabling managers to monitor progress in real-time. All scheduled trainings are integrated with employee profiles, allowing seamless access to training histories and ensuring up-to-date records.

To support this, Trainee & Trainer Management maintains structured records of everyone involved in training. HR can add trainer profiles, specifying skills and contact details, and assign trainers to sessions accordingly. Trainees are enrolled for relevant programs and linked to their respective training activities. The module provides filtering and search capabilities to find trainers or trainees based on skills, departments, or training participation, making it easier to plan future training initiatives and track attendance and progress.

Financial oversight is handled through the Training Cost Management feature, which enables organizations to define, categorize, and assign all training-related expenses, including venue costs, materials, trainer fees, and more. Training budgets can be set and continuously compared with actual expenditures, helping prevent overspending. Detailed cost reports can be generated by session, department, or fiscal period, and integration with the finance and budgeting modules ensures accurate accounting. Audit trails and approval workflows provide transparency and control over training investments.

The module also allows breaking down training sessions into detailed Training Activities, which are smaller components or modules within a training program. Each activity can have its own objectives, trainers, trainees, timelines, and expected outcomes. Progress for these activities is tracked, and completion status is monitored to ensure that training programs are delivered effectively and in an organized manner. These activities are also linked with attendance and performance records, providing detailed insights into employee learning journeys.

Beyond training programs, organizations often need to recognize employees who carry additional responsibilities or specialized skills. The Specialized Employee feature in PrismERP allows HR to assign specialized roles—such as Trainer, Safety Officer, Internal Auditor, or Project Lead—to employees without altering their primary job designation. These specializations can be categorized, filtered, and managed separately, allowing easy identification and allocation of internal resources for projects, audits, compliance, or other organizational needs.

How to Use Key Features in PrismERP

Training Schedule Management Navigate to the Training module to view scheduled sessions. Use the Add (+) button to create new training events by filling in session title, date, trainer, location, and participants. Sessions can be edited or rescheduled as needed, with status updates reflecting real-time progress.

Trainee & Trainer Management For trainers, go to Training → Trainers Add to create and assign trainer profiles. For trainees, go to Training → Trainee Schedule to assign employees to sessions. Manage, edit, or filter trainer and trainee records through the list views.

Training Cost Management Enter training expenses categorized by cost types (venue, materials, fees) and assign them to sessions or departments. Monitor budgets versus actual spending, generate reports, and follow approval workflows integrated with financial modules.

Training Activities Within a training program, define activities or modules, assign trainers and trainees, set objectives and timelines, and track progress until completion. Activities are linked to performance and attendance data for comprehensive insights.

Specialized Employee Management Navigate to HR Operations Specialized Employee to assign specialized roles. Select employees, choose specialization types, add notes, and save. Manage existing specializations via the list to edit, deactivate, or remove assignments.
