Investigation Workflow

The Investigation Workflow in PrismERP is a structured process used to examine reported disciplinary incidents within an organization. It enables HR or designated investigators to formally review employee misconduct, collect evidence, analyze facts, and determine the next course of action (such as issuing a show cause notice, warning letter, or other disciplinary steps).

This workflow ensures transparency, accountability, and procedural fairness in all employee-related investigations.

  • Initiate and track investigation cases linked to reported incidents or complaints.
  • Assign investigators and define roles/responsibilities.
  • Record investigation findings, observations, and remarks.
  • Attach supporting documents, images, or other proof.
  • Link outcomes to subsequent disciplinary actions (e.g., warning letters, actions).
  • Workflow status tracking: Pending, In Progress, Completed, or Closed.
  • Timeline maintenance for accountability and historical reference.

How to Use This Feature in PrismERP

Step-by-Step Guide:

  1. Access the Module

    • Navigate to the Investigation Workflow section under Disciplinary Management.
  2. Initiate a New Investigation

    • Click "Initiate Investigation".
    • Link to a previously submitted complaint, incident, or show cause notice.
  3. Assign Investigators

    • Choose one or more responsible persons and set timeline expectations.
  4. Record Case Details

    • Enter:
      • Affected employee(s)
      • Department
      • Summary of the case
      • Incident type and background
  5. Upload Evidence

    • Attach files such as:
      • CCTV footage
      • Witness statements
      • Emails or documentation
  6. Record Findings

    • Investigators can:
      • Update the case with remarks, findings, or interview notes.
      • Track and update the status.
  7. Complete the Investigation

    • Mark the workflow as Closed once complete.
    • Proceed to issue a decision such as:
      • Warning Letter
      • Suspension
      • Termination
      • Other Disciplinary Actions
  8. Review and Archive

    • The entire case history is stored and linked to the employee’s record for future audits and reference.
