Disciplinary Action
The Disciplinary Action feature in PrismERP provides a structured and transparent way to handle employee complaints, misconduct, show cause notices, and warning letters. It ensures that every step of the disciplinary process is clearly recorded, easily tracked, and aligned with organizational policies, helping managers maintain fairness and accountability.
The process begins with Complaint Initiation, where users can record complaints against employees by selecting the relevant Branch, Division, Department, Section, Sub Section, Floor, and the employee involved. Users can provide a detailed description of the offense, upload supporting attachments, and capture the complainant’s information, including cases submitted on behalf of someone else. Once added, complaints appear in the Complaint List, where they can be searched, filtered, edited, or deleted. Detailed views allow adding replies, attaching documents, and tracking actions for proper follow-up.
From complaints, users can proceed to Show Cause Processing. Each show cause notice is linked to a specific complaint and employee, with details such as offense description, execution date, notice period, committee details, and required actions. Show cause notices appear in the Show Cause List, which provides search and filter options by Employee, Branch, Division, Department, Section, Sub Section, Floor, Status, Reference Number, Show Cause Number, and Date Range. Users can update the status, generate reports, and view details to add replies or manage attachments, ensuring full accountability.
The next step is Warning Letter Resolution, where warning letters are issued based on related show cause notices. Users can record the employee, related show cause ID, warning or issue date, attachments, employee explanations, punishment details, and final actions. Warning letters appear in the Warning Letter List, searchable and filterable by Employee, Branch, Division, Department, Section, Sub Section, Floor, and Date Range. Detailed views allow editing, managing attachments, and downloading records for proper documentation.
Supporting these actions is the Disciplinary Setup, where users can define and maintain core elements such as Disciplinary Statement Reasons, Actions, and Misconduct Types. Keeping these elements updated ensures that all complaints, show cause notices, and warning letters are consistent, standardized, and fairly applied across the organization.
